June 2003: Stage 1- Initial Discussions

TUI-UK decided that they would allocate space within their head office in Coventry for an in-house fitness centre for their employees to use. After an initial discussion with Corporate Wellbeing, the following points were highlighted.

  1. TUI-UK wants to lower their staff turnover rate and absenteeism.
  2. TUI-UK wants to provide an outstanding facility for their staff to de-stress in
  3. TUI-UK wants the gym to be self-financing
  4. TUI-UK want their employees to contribute to the on-going costs
  5. Corporate Wellbeing to provide all the exercise equipment as part of the management package
  6. How much and what type of equipment is needed?
  7. What are the insurance implications in having a centre?

July 2004: Stage 2- Audit

Corporate Wellbeing undertake a Audit of the TUI-UK in-house fitness project, important points highlighted were:

  1. How much equipment will fit in the fitness centre?
  2. What exercise classes would be needed?
  3. Initial staff survey to gauge interest in fitness centre
  4. What opening times did TUI-UK need?
  5. What were the staffing considerations?
  6. What were the environmental considerations?

August 2004: Stage 3- Consultation Meeting

All information is edited and after further changes an outline proposal is produced. This is a workable document, which holds the infrastructure of gym design, financial costs, gym marketing and all other information on how the gym will operate. Fundamental issues are:

  • TUI-UK approved the gym design and equipment brand . Click here to see the original gym design
  • The gym is staffed 7am – 7pm, so that an instructor would be available all the time when TUI-UK's staff members wanted to exercise.
  • The level of insurance that Corporate Wellbeing will provide
  • Provisional dates for opening
  • Terms of business and Service Agreement is discussed

After meeting, all issues are acted upon and a detailed final proposal is created for TUI-UK to ensure that every need is taken into consideration.

February 2004: Stage 4- Service Agreement

TUI-UK and Corporate Wellbeing then enter into a standard service agreement for three-years. After which a Pre-Opening Matrix is created to plot the project progress from this point to opening day.

  1. Pre-Opening matrix details all tasks i.e. Equipment Installation, Power installation, gym marketing, staff training, staff seminars etc, all that needs to be completed prior to opening day to ensure a successful opening.

March 2004: Stage 5- Progress Meeting

Corporate Wellbeing and TUI-UK meet to discuss progress and ensure that all tasks detailed on the set up matrix are on schedule

  • Exercise equipment is installed and tested
  • Initial risk assessment takes place
  • Pre-Opening marketing campaign starts

May 2004: Stage 6- Opening Day

The gym opened with 11% of staff as members and paying £15 per month to use the gym. All new members attended a health appraisal and a subsequent gym induction with a Personal Trainer prior to using the gym.

  • Posters, leaflets and brochures were organised to promote the gym
  • Seminars organised for staff to learn more about the gym
  • The gym is advertised on TUI-UK's intranet
  • 16% of TUI-UK staff joined during the first week

    September 2004: Stage 7- Quarterly Meeting

    During the quarterly meeting with TUI-UK all current and future initiatives are discussed. TUI-UK are also informed that:

  • 23% of TUI-UK's staff are members of the gym
  • Membership rising by 3% per month
  • Class timetable updated with addition classes
  • Additional Wellness services such as Hairdressing and Aromatherapy planned for October 2004
  • Health testing is now available for free to all staff
